Role Overview

  • Our client is a growing multi-channel cycling and multisport retailer based in the Washington, D.C. area, operating a brick-and-mortar store alongside an active Shopify storefront carrying a large, fast-moving catalog across multiple international brands. They're looking for a detail-driven VA to own the accuracy of their inventory, purchase orders, and online listings — this is a role where precision matters more than speed, and where small mistakes (a wrong colorway, a mislabeled SKU, an incorrect price) have a direct, visible cost.
  • Key Responsibilities
  •     Shopify store accuracy: upload received inventory under its correct, full retail product name (never the vendor's internal shorthand code), with matching photos, correct UPC/SKU, and accurate pricing — including correctly distinguishing component pricing (e.g., a frame-only listing) from complete-build pricing.
  •     Inventory management: run routine spot-checks across a high-SKU, multi-vendor catalog to keep on-hand counts accurate and prevent online orders being taken for items that are out of stock or don't actually match what's listed.
  •     Purchase order processing: enter POs that exactly match what was actually ordered (correct colorway, size, and spec variants — not assumptions), and reconcile incoming shipments against POs and vendor invoices.
  •     Vendor coordination: follow up with vendors on order status and outstanding invoices; request proper invoices when only an order form is on file.
  •     General admin support: email management, scheduling, and other day-to-day administrative tasks as needed.
  • What We're Looking For
  •     Hands-on experience with Shopify and inventory management workflows.
  •     A proven track record in an admin or executive assistant role, with a track record of accuracy — someone who double-checks their own work rather than assuming.
  •     Comfortable working independently across a large, fast-moving SKU catalog with minimal errors.
  •     Clear, professional written and spoken English.
  •     A background or personal interest in cycling, running, triathlon, or another sporting goods category is a strong plus — familiarity with athletic gear terminology and brands will help this role move faster.

  •     Light social media support / posting experience.
