The Position
The Coordinator II, Plant Operations will support the execution of day-to-day operational activities within a biotech/pharmaceutical manufacturing environment. This role will coordinate project timelines, track action items, support departmental reporting, assist with purchase orders and invoices, and help ensure operational priorities are communicated clearly across cross-functional teams.
This position is intended for an individual with prior experience in biotech, pharmaceutical, life sciences, or another regulated manufacturing environment. The ideal candidate is highly organized, detail-oriented, comfortable working in a fast-paced environment, and able to support multiple priorities while maintaining compliance with internal procedures and applicable regulatory requirements.
Responsibilities
- Develop and maintain project timelines, meeting schedules, meeting minutes, action item trackers, and status updates.
- Support routine operational meetings by preparing agendas, documenting discussion points, tracking follow-ups, and ensuring action items are completed.
- Monitor, generate, and summarize departmental performance metrics and operational reports to support business reviews, decision-making, and continuous improvement efforts.
- Assist with tracking project plans, milestones, deliverables, and timelines to help ensure projects remain on schedule and aligned with business objectives.
- Support cross-functional projects within Plant Operations by coordinating tasks, gathering updates, and escalating risks or delays as appropriate.
- Work closely with Manufacturing, Quality, Supply Chain, Facilities, Engineering, and Finance teams to support daily operational activities and help resolve routine workflow challenges.
- Act as a liaison between departments to help communicate priorities, deliverables, due dates, and status updates.
- Identify basic process gaps or inefficiencies and recommend improvements to enhance workflow, communication, or operational execution.
- Coordinate daily, weekly, and monthly operational tasks in alignment with department priorities and site needs.
- Submit purchase orders, track purchase requisitions, review vendor invoices, and route invoices for approval as needed.
- Support budget tracking activities by maintaining records of departmental expenditures, vendor invoices, purchase orders, and related documentation.
- Assist with document management activities, including document routing, tracking, review coordination, and maintaining audit-ready records.
- Support preparation for audits, inspections, and compliance reviews by organizing requested documentation and following up on assigned actions.
- Maintain accurate records, trackers, reports, and files in accordance with company procedures and applicable GMP requirements.
- Use systems such as D365, Smartsheet, Microsoft Office, and document management platforms to support operational coordination and reporting.
- Perform other related duties as assigned to support Plant Operations.
Requirements
- Bachelor’s degree in Biology, Chemistry, Engineering, Life Sciences, Business Operations, Supply Chain, or another related scientific, technical, or business field.
- Minimum of 2+ years of experience in operations coordination, manufacturing support, project coordination, administrative operations, or business support within biotech, pharmaceutical, life sciences, or another regulated environment.
- Prior experience working in a biotech, pharmaceutical, GMP, or regulated manufacturing environment.
- Strong organizational and time-management skills with excellent attention to detail.
- Ability to manage multiple tasks, track deadlines, and follow up effectively in a fast-paced environment.
- Experience supporting meetings, maintaining trackers, documenting action items, and preparing routine reports.
- Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
- Effective written and verbal communication skills.
- Ability to collaborate with cross-functional teams and communicate status updates clearly.
- Basic understanding of GMP, documentation practices, compliance expectations, or regulated manufacturing processes
Preferred
- Experience supporting plant operations, manufacturing operations, supply chain, facilities, engineering, quality, or production support functions.
Wisconsin pay range
$60,000—$75,000 USD
